1.Refund schedule
Refunds are calculated from the date the written withdrawal request is received by the campus office (email, portal or signed letter).
| Timeline of withdrawal request | Tuition fee refundable | Hostel & mess boarding | Processing window |
|---|---|---|---|
| Before batch orientation date (pre-commencement) | 100% refund (less ₹2,500 registration fee) | 100% refund (no retention) | 5 banking days |
| Within 15 days of batch start date | 80% of annual tuition refunded | Pro-rata monthly deduction only | 7 banking days |
| Between 16 to 30 days of batch start date | 50% of annual tuition refunded | Pro-rata monthly deduction only | 7 banking days |
| Beyond 30 days of batch commencement | Special Review Board discretion | Unutilized quarters refunded | 10 banking days |
All refund applications are executed digitally via RTGS back to the originating bank account.
2.What counts as the batch start date
The batch orientation date printed on the fee sheet. For mid-session admissions it is the first live class attended. Students who join the recorded catch-up plan before live classes are treated as pre-commencement until their first live class.
3.Registration fee and study material
The ₹2,500 registration fee covers the diagnostic test, counselling and seat reservation and is non-refundable once the fee sheet is issued. Printed modules already issued are retained by the student; their cost (listed on the fee sheet, typically ₹3,500 to ₹6,000) is deducted only for withdrawals after the batch start date.
4.Hostel and mess refunds
Hostel and mess charges are refunded pro-rata by calendar month: a student leaving on any day of a month pays for that full month and is refunded the remaining months. The refundable hostel security deposit is returned in full after room inspection, less any documented damage. Laundry and transport add-ons follow the same monthly rule.
5.EMI and scholarship cases
Where fees were financed through a 0% EMI partner, the refund is remitted to the financing partner to close or reduce the loan, and any excess is returned to the parent’s account. Scholarship waivers are applied before the refund percentage is calculated, so the refund is a percentage of the tuition actually paid.
6.Special Review Board
Withdrawals after 30 days are reviewed by a three-member board — the campus director, the registrar and a parent representative — within 10 working days. The board considers medical grounds, family relocation or transfer, and documented dissatisfaction with teaching. Medical withdrawals supported by a hospital certificate are refunded pro-rata for the unattended months regardless of the timeline above.
7.How to request a refund
- Submit the withdrawal form on the parent portal or email the campus office from the registered email address, stating the student’s name, batch and reason.
- Return the ID card and any library material; hostel residents complete room inspection.
- The office issues a refund computation sheet within 2 working days for your confirmation.
- The amount is transferred by RTGS/NEFT to the originating bank account within the processing window above. You receive an SMS and the credit advice on the portal.
8.Programme changes by Aspire
If Aspire cancels a batch, merges it with another campus more than 50 km away, or changes the resident subject faculty for more than 30 consecutive days without a replacement of equal qualification, the student may withdraw with a 100% pro-rata refund of tuition and boarding for the unattended period, irrespective of the timeline above.
9.Escalation
If a refund is not received within the processing window, write to refunds@aspireiitmedical.com or call +91 98166 23676. Unresolved cases may be escalated to the Grievance Officer named in our Privacy Policy, and families retain every right under the Consumer Protection Act, 2019.
